...Diamonds are Forever...

DC Diamond Circulate's Privacy Policy

DC Diamond Circulate, Inc. (DCDC), is very mindful of the importance of protecting your private information. Despite the obvious irony, we do everything in our power to protect your information from espionage. Here is a description of information we collect and what we do with it.

Registration Data

DCDC uses a private database and paper files to store all registration data submitted, either by printed form or through the Convention web site. We will use such data in the course of producing the Convention and to contact registrants from time to time with information about the Convention. Access to this data is restricted to those people who have an active need for it in order to carry out their responsibilities with respect to the Convention. We maintain access controls to prevent unauthorized disclosure.

Unless directed otherwise, we may provide registrants’ personally identifiable information to IAGSDC-approved organizations such as the 10-year medallion project (to determine eligibility for the medallion) and future conventions (for use in their registration processes). Please refer to the IAGSDC privacy statement. We will not give registrant information to any other entity, except in statistical summaries.

Financial Instrument Data (Credit Cards, Checks)

DCDC does not store any credit card data (account number, expiration, security numbers {CVV / CID}). Credit card processing is handled through PayPal using a secure connection (https) directly to its site. At no point does registrant financial data get stored in our servers. Our online ordering system sends registrants to the PayPal site for processing on its systems using a separate pop-up browser window whereby all transaction information is in the control of PayPal and not DCDC. Any non-electronic, credit card data will be handled in accordance with PayPal, Visa, Mastercard, and Amex regulations.

Photocopies of checks will be maintained in a secure file for informational (proof-of-payment) purposes only, and will be destroyed after the Convention.

Email

Email messages sent through the web site contact form, or directly to addresses at www.DCDiamondCirculate.org, are treated as private correspondence. We will use these messages to help facilitate communication between the committee and the registrant. We use email address from these messages only in the course of responding to the message (or otherwise as requested).

Email addresses given to DCDC through the registration process are subject to the same sharing policies as noted above for registration data. We will send only text-based messages in limited quantities to these addresses, with links to the web site for more detailed content and images.

We use email messages as the preferred method of communication to Convention registrants, both for cost and timeliness reasons. If a registrant provides an email address, we may send Convention information through this method (subject to this policy) even if the registration form states that postal mail is preferred for official communications; however, we will follow up with official information through postal mail in this case.

Web site

The web site server maintains a standard log of page accesses for use in site maintenance. Information recorded includes URL of page requested, access time, ip address of the requestor, and URL of any referring site. We do not track individual accesses. We will not release access data to outside parties unless we determine in good faith that it is necessary (such as investigation of improper access). The web site does not use or require browser cookies except to maintain session information during certain interactive activities such as registration and merchandise ordering. All cookies set by the site are stored only for the duration of the browser session.
